A list is only valuable if your team can act on it. Before deciding which records to collect, decide how they will be used: who will work them, what the first touch looks like, and what makes an account worth a second attempt. The list should mirror that process, not become a separate project that lives in a folder.
Teams that skip this step end up with a technically clean file that nobody uses, because it does not answer the questions their outreach actually asks.
Each column should exist for a reason. A field earns its place when someone will either filter, personalise or report on it.
An ideal customer profile should be specific enough to exclude companies, not just include them. If the criteria would accept almost every company in the market, it will not improve your outreach; it will dilute it.
Keep the agreed criteria with the delivery. When someone asks why a record is on the list, the answer should be in writing, not in someone's memory.
De-duplication, consistent formatting and a convention for missing values matter more than most people expect. A single clear convention for empty fields is better than a column half filled with guesses, because a guess in a CRM looks exactly like a fact.
Decide how the list will be kept current. A prospect list is a snapshot, and a snapshot ages. If the audience is worked over months, plan how and when it will be refreshed.
